Privacy Policy

This policy explains how ShubhSoft Solution ("we", "us") handles information in School Accounts — the Android app and the website at account.shubhsoftsolution.in — used by schools to keep their accounts.

Who the app is for

School Accounts is a business tool for school administrators and accounts staff. Accounts are created by the school (or by us for the school); there is no public sign-up. The school decides what information is entered and who can see it. For that information the school is the data owner, and we process it on the school's behalf to provide the service.

Information we collect

• Account details: name, user name, and optionally email and phone number of each user; the school(s) and role assigned to them. Passwords are stored only in a securely hashed form.
• Accounting records entered by the school: ledgers (for example parties, suppliers and their contact, GSTIN, PAN and bank details), receipts, payments, sales, purchases, journal entries, items and stock.
• Students and staff from the school's ERP: when the school links its ERP, we read the student's name, admission number, father's name, mobile number and address, and the staff member's name, designation, mobile, address and bank details — only so the school can record fees and payments against them.
• Usage information: when a user signs in, which school they work in, how long they are active each day, how many entries they make, and the device model name (for example "Samsung SM-A515F") so users can see where they are signed in.

We do not collect location, contacts, photos, camera, microphone or files from your phone, and the app shows no advertising. The app needs only the internet permission; the "call" button simply opens your phone's dialer.

How we use information

• To provide the service: sign-in, recording entries, reports and switching between schools.
• To keep the service secure: check permissions, block misuse and investigate problems.
• To show administrators how the software is being used (active users, working hours, entries per school).
• To provide support when the school asks us to.

We do not sell personal information and do not use it for advertising.

Sharing

Information is visible only to users the school has given access to, according to their role. We share it only with service providers who host the service for us (secure cloud servers of Amazon Web Services in India), or when required by law. We do not share it with anyone else.

Storage and security

• Data is stored on secure servers in India (Amazon Web Services, Mumbai region).
• All traffic between the app or browser and our servers is encrypted (HTTPS).
• Passwords are hashed; access is controlled by user roles and permissions; repeated wrong passwords lock the account for a while.
• The phone keeps only your sign-in session and the server address; no accounting data is stored permanently on the device.

How long we keep data

We keep a school's data for as long as the school uses the service. When a school stops using it or asks us to delete its data, we delete it within 30 days, except where the school must keep accounting records longer by law (in that case the school can ask us for an export first). Usage logs are kept only as long as needed for reports and security.

Your choices and rights

You can ask to see, correct or delete your personal information. Most corrections can be made by your school administrator. To delete your user account, see Delete your account. Children

The app is meant for adult school staff, not for children. Student details are entered or provided by the school for its accounting, and are handled only as described above.

Changes to this policy

If we change this policy, we will update this page and the effective date above. Important changes will also be shown in the app.
